Free QuickBooks Grader · Owner-led businesses, $1M to $20M

Find out how your books grade. Before a lender or a buyer does.

Add us as a user on your QuickBooks Online file and we grade it in six areas, from how the month closes to whether the reports would hold up in a bank review. You get a letter grade for each area, the three fixes worth making first, and 30 minutes to go through it. Free.

What we grade

Each area gets a letter grade from what is actually in the QuickBooks Online file.

  • Accounting practices: Cash or accrual, and whether it is applied the same way every month; A chart of accounts that fits how the business makes money; Revenue and costs recorded in the month they belong to; Owner and personal spending kept out of operating lines.
  • Month-end close: A close that happens on a set schedule; A closing date set, so earlier months cannot change after the fact; Accruals, prepaid expenses, and payroll timing booked; Reports that stay the same after they are sent.
  • Data hygiene: Uncategorized and "Ask My Accountant" balances; Undeposited funds left sitting; Duplicate customers, vendors, and transactions; Bank rules and feeds posting to the right accounts.
  • Balance sheet integrity: Every bank, card, and loan account reconciled and tied to its statement; No frozen, negative, or unexplained balances; Fixed assets and debt matching their schedules; Opening balance equity cleared out.
  • Receivables & payables: Aging reports that match what customers and vendors actually owe; Stale open invoices, credits, and unapplied payments; Duplicate or phantom bills; Payments applied to the right invoices.
  • Reporting readiness: Classes, locations, or projects set up so margin can be read by job, line, or location; A budget loaded to compare against; Statements a lender or buyer would accept without a rebuild.

Frequently asked questions

Is it really free?

Yes. No cost, no card, no obligation. We do it because it shows us how businesses actually run and what owners are running into. Some owners who see the grades ask us to help fix what is behind them.

What access do you need?

A user login on your QuickBooks Online file. We send the steps after you fill in the form. Adding us takes about 15 minutes, and you can remove our access whenever you want.

Will you change anything in my books?

No. During the grade we read and test the file. We do not edit, delete, or post anything.

Who sees my books?

Only the person doing the review. We do not store or send your data anywhere it is not safe, and we never put confidential information in marketing material. Everything in the scorecard is yours to keep.

How long does it take?

About 15 minutes to add us. We are usually back inside a week, with 30 minutes on the calendar to go through the grades.

What if my file grades badly?

Most files have gaps, which is the point of grading them. The scorecard ranks the fixes by what they are worth, so your bookkeeper, your controller, or we can work through them in order.

We use QuickBooks Desktop or another system. Can you still grade it?

The grader is built around QuickBooks Online. If you run something else, tell us on the form and we will say whether we can grade it.

Do I have to change accountants or software?

No. Keep your CPA, keep QuickBooks, keep your bookkeeper. Tax and audit work stays with your accountant.
